How to Prepare for Your Special Event

1. Set a Budget

Determine how much you can spend on the event. Consider all potential costs such as venue, catering, decorations, and entertainment.

2. Choose a Date and Time

Pick a date and time that works for you and your guests. Be mindful of holidays or other significant dates that might conflict with attendance.

3. Create a Guest List

List everyone you want to invite. This will help you determine the size of the venue and your budget for catering.

4. Book a Venue

Choose a location that fits your theme and can accommodate your guest list. Make reservations well in advance, especially for popular venues.

5. Plan Catering

Decide whether you want a sit-down meal, buffet, or finger foods. Consider dietary restrictions and preferences of your guests.

6. Plan Your Photography

Decide what kind of photography appeals to you and what your budget is. Do you like the photographer's style? Do you like photos that are all photojournalistic or do you also want some posed photos? If so, when do you plan on doing the posed photos? More and more people are doing their posed photos before their event so that it doesn't interfere with their time with their guests. Even with weddings, more couples than are having a "first look" and doing all their posed photos before the ceremony. Check out the photos below of couples enjoying a moment having a first look.

7. Send Invitations

Choose a method for sending invitations (physical, electronic, etc.) and be sure to include all necessary details (date, time, location, RSVP information).

8. Organize Entertainment

Depending on the nature of your event, arrange for music, games, or speakers. Make sure everything is in line with your theme. 

9. Finalize the Details

In the week leading up to the event, check in with vendors, confirm attendees, and finalize your timeline for the day.

10. Enjoy the Event

On the day of the event, focus on enjoying the festivities and mingling with your guests. Take lots of pictures and create memories!
